This Privacy Policy explains how we collect, use, and protect your data when you visit our website or use the ServerSage platform—including our AI-powered systems administration agent, which is built on LLM products delivered by OpenAI, as well as cloud infrastructure from Amazon Web Services.

  • Users of the ServerSage platform and agent
  • Data processed by ServerSage via the OpenAI API

2. Information We Collect

a. Website Visitors

We collect basic usage data through cookies and analytics tools:

  • IP address, browser type, pages visited
  • Referral URL and session duration

b. Platform Users

When you interact with ServerSage as a platform (e.g., via agent tasks, dashboard, or terminal interface), we may collect:

  • Account info: name, email, organization
  • Logs of actions initiated by you (e.g., "install Docker", "restart nginx")
  • System metadata from your managed servers (OS type, instance ID, resource usage, etc.)

c. AI Command Processing (OpenAI API)

Commands you give ServerSage’s agent may be processed using the OpenAI API.

ServerSage does not train on your data, and OpenAI does not retain or use your data for model training unless explicitly opted in. As of March 1, 2023, OpenAI’s policy ensures API data is not used for training.

We only send to OpenAI:

  • Natural language requests or operational queries
  • Contextual information needed to interpret the request (e.g., OS type or task history)

We do not send:

  • Server passwords, private keys, or confidential files

3. How We Use Your Information

We use the information we collect to:

  • Operate and improve the ServerSage platform
  • Execute requested sysadmin tasks via AI
  • Provide customer support
  • Analyze feature usage and performance
  • Send product updates or event-based notifications (opt-in only)

4. Data Storage and Retention

  • Website interaction logs: retained for up to 12 months
  • Task history and command metadata: retained for the duration of your account or until deleted
  • Data sent to OpenAI: transient, retained up to 30 days for abuse monitoring (per OpenAI's policy)

If you are an enterprise customer, we offer data opt-out and on-premise deployment options for additional control.

5. Third-Party Services

We use:

  • OpenAI for natural language command interpretation
  • Google Analytics for web traffic analytics
  • AWS or other secure cloud providers for infrastructure hosting

We do not sell or rent your personal data.

6. Data Security

We apply industry-standard security practices including:

  • HTTPS/TLS encryption
  • Role-based access control
  • Command execution isolation per server
  • Minimal data retention policies

Sensitive information (e.g., authentication tokens or server credentials) is encrypted and never shared with OpenAI.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access or correct personal information
  • Request deletion of your data
  • Object to data processing for marketing
  • Export your account data

8. OpenAI Data Handling Disclosure

Because ServerSage uses the OpenAI API:

  • Requests may be processed by OpenAI’s servers
  • Data sent to OpenAI is subject to OpenAI’s API Data Usage Policy
  • OpenAI retains API data for up to 30 days for abuse detection and does not use this data to train its models (unless you opt in)

ServerSage is headquartered in Singapore and adheres to global data privacy practices, including:

  • GDPR (Europe)
  • PDPA (Singapore)
  • CCPA (California, if applicable)
